Sample Order Service: Verify the Product Before the Money

Samples are where wholesale orders are won or lost. Two routes — sample-room stock or made-to-order — both checked and reported before dispatch.

Sample Order Service: Verify Before You Commit

In wholesale buying, a photograph proves very little. Colour accuracy under different lighting, material weight, stitch density, print sharpness and the actual construction of a carton all have to be judged in hand. Our sample order service exists so that you can hold the product, test the finish and check the packaging before any production money moves. As a Yiwu buying agent working with suppliers across the nearby industrial belts, we arrange samples as the first substantive step of most engagements — the point at which a specification stops being a description and becomes a physical reference.

Two Sample Routes

Existing samples from the sample room

For stock items, many suppliers hold current samples of what they already produce. These can usually be supplied free of charge or at low cost, and are dispatched by courier with freight billed to your account. This is the fastest way to assess a supplier's standard output and compare several alternatives side by side before narrowing the field. It is also the usual starting point if you plan to order samples from China across a broad category and want a first physical read on quality.

Made-to-order samples for customised products

Where the product carries your logo, your colours or your packaging, a sample must be produced. The first sample usually takes 7–15 days. A sample fee is prepaid, and we operate a rapid channel for small sample lots of 1–50 pieces with priority scheduling at the supplier. This keeps customisation decisions grounded in a real article rather than a digital mock-up, and it means a seasonal or private-label range can be validated without committing to bulk volumes first.

What Can Be Customised at Sample Stage

Customisation should be settled in the sample, not after the purchase order. At this stage we can arrange:

Each of these is checked on the physical sample so that artwork files, colour references and label wording are confirmed before tooling or plates are set. Corrections at this point are inexpensive; corrections after production are not.

How We Report on Samples

Samples are not simply forwarded. Before dispatch we send you photographs and video of the sample as produced, so you can review the visible details immediately. The approved sample then becomes the controlling specification: its measurements, materials, colours, print and packing are recorded on a specification sheet, and the bulk order is inspected against that record. This is the pre-production sample (PPS) discipline, and it is the reason a sample is worth taking seriously — it is the document the factory is measured against at final inspection, not a one-off courtesy piece.

Samples and batch records are retained at our Yiwu warehouse for at least 12 months, so a later dispute can be resolved against the actual approved article. Third-party laboratory testing for destination-market requirements can also be coordinated on request through ISO 17025 laboratories.

From Sample to Purchase Order

Once a sample is approved, the commercial steps are short. Requirement confirmation takes 1–3 days, during which we set out the specification and target volumes. We then present compared quotations from 3–5 alternative suppliers, assessed on cost, lead time and quality risk, so the sample you approved is priced against realistic alternatives rather than a single source. The proforma invoice that follows records the agreed AQL level — 2.5 or 4.0 as standard, 0.65 on request — along with payment terms of T/T 30% deposit and 70% balance against copy of bill of lading or before shipment. Larger or first orders can be handled by L/C, and small test orders and samples under US$2,000 by PayPal or Alipay.

Because sampling sits at the front of the standard order cycle, the time spent here protects the 15–45 day production window that follows. Buyers who are still learning the market often combine sampling with a structured first visit; our guide to how to buy from Yiwu Market explains how sample review fits into a sourcing trip, and our product sourcing services set out the full path from supplier screening through to consolidation and dispatch.

To discuss a sample request, write to [email protected] with the product, target quantity and any customisation requirements. Certificates are available upon request.
